Custom Fields

How many Custom fields can I add to my subscription plan?

There are limits on Custom fields for Items. The maximum custom fields allowed for Items vary according to your pricing package: 

  1. Essential Pricing Plan:    A maximum of 10
  2. Growth Pricing Plan:       A maximum of 20
  3. Premium Pricing Plan:    A maximum of 30

Custom fields for other modules are also available in the Growth and Premium pricing plans.

Can I search through using custom attribute value?

Yes, custom attributes are searched through as part of the general search function. Here is an example (Say you are looking for laptops with ‘Intel Core i3’ processor):

Processor -> intel core i3

Intel core i3

Click on the relevant ‘Assets’ to view Assets with custom attribute ‘Intel Core i3’.

How do I add a custom field for each item in an order?

EZRentOut comes with predefined set of fields for Orders and Items. However, if they are not sufficient for your needs, you can add custom fields from More -> Custom Fields -> Items.

Adding fields

Use the Add Custom Field button to add new fields. Choose a name, type (numeric, text etc.), and configure preferences for the field you’re adding.

Custom fields for items can be associated to groups. For example, your Camera Lens group can have a custom field ‘Focal Length’, which will only appear with camera lenses.

Deleting fields

Deleting a custom field also deletes all the associated values. Say your Camera Lens have a custom field ‘Focal Length’. Deleting Focal Length will remove this custom field from all lenses, and also delete all recorded values. This action cannot be undone.

How do I add a custom field to an order?

EZRentOut comes with a predefined set of fields for Orders and Items. However, if they are not sufficient for your needs, you can add custom fields from More → Custom Fields → Order. For example, you want to add a shipment number to an Order to keep track of its delivery, or the delivery is free for a particular item/Order.

Use the Add Custom Field button to add new fields. Choose a name, type (numeric, text, etc.), and configure preferences for the field you’re adding. See image below:

Deleting fields

Deleting a custom field also deletes all the associated values. Say your Camera Lens have a custom field ‘Focal Length’. Deleting Focal Length will remove this custom field from all lenses, and also delete all recorded values. This action cannot be undone.

How can I set alerts for warranty renewals whenever an item requires one?

You can set up a custom field of type ‘Date field (Alert)’ from More → Custom fields → Items.

Associate it with a specific group or all the future groups. Once created, you can then add the value for this custom field (date alert) from within the asset details page. You can set different date alerts for other assets.

So whenever a warranty is about to expire, you will get an email alert.

Also, if you set the custom field up as a recurring date alert, you’ll be able to manage repeated warranty renewals.

Note: You will only receive alert emails on the time set from Settings → Company Settings → Time for Alerts.

Error when searching on a custom field value for an item/order?

The search bar at the top will not give any results if search is performed on a custom field value having more than 1024 characters stored under its value.

This applies to custom fields created for Items and Orders.

What to be careful of when importing items from an Excel Sheet?

  1. Determine which columns in your excel sheet map to which fields in EZRentOut. Here’s a comprehensive data dictionary that explains the data fields in EZRentOut.
  2. If there are certain fields that you need that aren’t present in EZRentOut, create custom fields from Items –> Custom Attributes for them before the import.
  3. Ensure all AINs(Asset Identification Numbers) are unique and only contain numbers and alphabets (no special characters or spaces) if you’re using AINs.
  4. All names should be at least 3 characters long.
  5. All dates should be in the MM/DD/YYYY format.
  6. For yes/no fields e.g. Retire?, put yes against assets that should be in the retired state upon import.
  7. When importing inventory records, if you are specifying quantity to be added to stock, Stock Price column must also be mapped.
  8. The Late Fee should be in the format: <amount><space><duration>. An acceptable example in ’25 hourly’ which translates to a late fee rate of $25 per hour.
  9. The Rental Meter Threshold should only be provided in minutes. For a threshold of 2 hours, you will have to input 2 x 60 which is 120 as the value.
  10. There should not be any merged cells in your excel sheet.
  11. There should only be one excel sheet in the file you’re uploading. If your items are spread across various sheets within the same file, split these sheets into separate excel files and upload separately.
